Create an attendance list for training, clubs and groups

The TeamCounter attendance list lets you add participants, mark them present or absent and store sessions. It suits training groups, courses, meetings and recurring appointments where a full participant management system is not needed.

Three sessions using only present and absent

New participants start absent. The state button switches between present and absent; excused, late and free-text absence reasons are not tool states.

Use the print template covering all three sessions to prepare. These are sample values, not real participants.

Saving the date, saving a session and correcting mistakes

  1. Add participants, set 7 September 2026 and save the date.
  2. Mark participants 1 and 3 present. Check 2 present and 1 absent.
  3. Save the session once. Only this action creates a history snapshot.
  4. For the next session, save the new date. Check every state, or deliberately confirm marking everyone absent and then mark the present participants.
  5. Correct mistakes with the state button before saving the session. Later state changes do not change sessions already saved.

Saving a session again adds an entry; it does not correct the old one. The browser view shows the latest six saved sessions and keeps at most 120. CSV history contains each date and attendance totals, not a full participant-by-session matrix. Export in time for longer records and note discrepancies in a separate analysis.

What the attendance list covers

The list keeps a small group of participants, the current attendance status and saved sessions together in one clear view. A simple history supports recurring appointments.

The tool is not a working-time recording system, not school administration software and not a legally binding proof of attendance.

Recording attendance step by step

  1. Create a new attendance list with a neutral title.
  2. Add only the participants you need, using first names, initials or neutral labels.
  3. Mark people present or absent during the session.
  4. Set the date and choose “Save date”. Then choose “Save session” to add the attendance snapshot to the history.
  5. Use the view link for reading along or the management link for shared upkeep.
  6. Export a CSV file when you need the data elsewhere.

Example: weekly club training

A coach creates the list and keeps the management link. A second authorised person can also mark attendance. The group only receives the view link when needed. After the session, set and save the date, then choose “Save session” to retain the attendance snapshot.

Reasons for absence, diagnoses or other confidential information are never entered.

Using sessions and CSV sensibly

The session history is meant for a simple overview. The CSV file is a snapshot and can be opened in spreadsheet programs. Changes made in the exported file are never transferred back to TeamCounter.

Data protection and responsibility

Use as little personal data as possible. Health information, political statements, performance assessments or detailed reasons for absence do not belong in the list. The group has to decide who receives the management link and when data is deleted.
