Data protection for digital and shared lists

Data protection starts before a list is created. What matters is not only who receives the link, but also which details are needed at all. TeamCounter is built for simple organisational counting, not for confidential records.

Only enter what you need

Check in advance whether names are required or whether initials, roles and neutral labels are enough. A counter such as “setup finished” needs no personal data. For attendance a first name or an abbreviation is often sufficient. Additional contact details should not be stored without a concrete need.

Avoid sensitive data

Health data, political or religious statements, staff assessments, bank details, confidential legal information and comparable sensitive content do not belong in TeamCounter. Those require systems with roles, access control and documented safeguards.

Links are access

The management link allows changes, the view link is read-only and the display link is meant for shared screens. Noindex keeps individual lists out of search engines but does not replace access control. Anyone holding a link can open it.

A data-minimal routine and deletion

  1. Define the purpose and the required details before creating the list.
  2. Reduce data to abbreviations or neutral labels.
  3. Choose the view, display or management link to match each role.
  4. Agree a concrete review and deletion date.
  5. Delete lists you no longer need and local export files separately.

Attendance example: a training group uses only initials, stores no reasons for absence and gives the management link to the coaches alone. After the season the list and any CSV files that are no longer needed are deleted.
