Digital drink list for clubs, offices, shared flats and events

The digital drink list counts entries per person and can calculate totals automatically when a price per entry is stored. It suits manageable groups that need a simple shared tally without setting up a point-of-sale or accounting system.

Checkable example: four rows, EUR 4.10 in total

The web tool calculates entries × price per entry for each row. Different prices require separate rows for one person: “Person A – Water” (2 × EUR 0.50 = EUR 1.00), “Person A – Juice” (1 × EUR 1.00 = EUR 1.00), “Person B – Water” (1 × EUR 0.50 = EUR 0.50) and “Person B – Coffee” (2 × EUR 0.80 = EUR 1.60).

Total: EUR 4.10. Add Person A’s rows yourself to EUR 2.00 and Person B’s to EUR 2.10; the web tool does not group rows by person automatically. It has no item catalogue or person-by-item matrix.

The drink-list template includes this example, a CSV file and a blank print template.

Recreate the example and check mistakes

  1. Open an empty drink list and choose online for sharing or local for this browser.
  2. Add the four labels under Person. Set the starting count to 0 and enter the respective price per entry. Check the price before adding the row.
  3. Click +1 twice for A/Water, once for A/Juice, once for B/Water and twice for B/Coffee. Check each row and then EUR 4.10 overall.
  4. Correct one extra drink with −1. Delete removes the entire row and is not a substitute for −1.
  5. Export CSV to keep the current state. It contains person, entries, price, total and a final total row. Check the file and print preview before resetting or rebuilding a list.

The default price is for new rows. Entering a price of 0 falls back to the default in the current form, so this example uses positive prices only. The browser interface has no subsequent item-price management.

What the drink list can record

You can add people or neutral labels, count entries with one click, store prices and check the calculated totals. The drink list is built for simple counting that the group has agreed on.

It does not create invoices and does not check tax or contractual requirements.

Running the drink list step by step

  1. Name the list after a clear period or occasion.
  2. Add people or neutral abbreviations.
  3. Check the agreed price per entry.
  4. Count entries promptly through the management link.
  5. Review quantities and totals together at the end.
  6. Export a CSV file or save the print view as a PDF.

Example: shared coffee fund in an office

Each participating person gets one row for an agreed period. Authorised people record the consumed units. At the end the totals are checked together and saved as a CSV file.

Confidential personnel information, payment data or bank details are never stored in the list.

Sharing and avoiding mistakes

Only give the management link to people who are allowed to correct entries. A view link is enough for a pure overview. Before settling up, price, period and counter values should be checked together.

TeamCounter cannot prevent accidental or deliberate changes by people who hold management access.

Export and limits

The CSV file can be processed further in Excel or other spreadsheet programs. The PDF is produced through the browser print function. TeamCounter is not an inventory, point-of-sale or accounting system and does not produce legally binding invoices.
