When a simple online counter is enough and when club software makes more sense

A simple online counter is set up quickly and easy to share by link. Comprehensive club software solves different problems: member management, roles, fees, documents and binding processes. The right choice depends on the purpose and on how sensitive the data is.

When TeamCounter is enough

TeamCounter fits when the counting task is clearly limited, few people change values, no registration is required, links are sufficient as access, no sensitive data is stored, and CSV or the print view are enough as a simple export.

When specialised software is the better choice

  • Member master data or fees are managed.
  • Individual user accounts and roles are required.
  • Changes have to be traceable in an audit-proof way.
  • Invoices, contracts or legal evidence are created.
  • Health, personnel or other sensitive data is processed.
  • Interfaces, workflows or complex reports are needed.

Deciding in five steps

  1. Describe the concrete problem in one sentence.
  2. List the data you need and the people involved.
  3. Check whether a link is enough as access.
  4. Define your requirements for evidence, permissions and export.
  5. Use a neutral test list to check whether the simple process is sufficient.

An example from everyday club life

For counting completed volunteer tasks or a training score, TeamCounter is often enough. For membership fees, bank details, consent declarations or binding working hours, software designed for that purpose is required. Both solutions can serve different tasks in the same club.

Documenting the limits deliberately

TeamCounter has no account system, no individual roles and no full club administration. A CSV export is a snapshot, not an automatic interface. Defining these limits before you start prevents unsuitable use and unnecessary data collection.
